A better overview.

Keep track of sales, stock and closing records.

A day in your ice cream parlour

Lots happening.
Plenty already organised.

The rush rarely starts just when everyone is ready. Megara supports the recurring tasks before, during and after it.

BEFORE OPENING

Everything ready?

Record deliveries, check stock and set up the till layout for your range.

IN THE AFTERNOON

The terrace fills up.

Take orders at the table, assign requests and send them to the configured stations.

DURING THE SUNDAY RUSH

Every action counts.

Clear item selection, a digital order board and collection numbers help the team work together.

AFTER CLOSING

Time for a clear picture.

Check open tables, count cash and review sales and discounts.

How the workflow connects

From the first request
to the last spoonful.

01 · TAKE THE ORDERCounter, table or SelfOrder

Enter items, quantities and suitable options.

02 · SEND IT ONTo the right station

Route ice cream and drinks according to their configured assignments.

03 · PREPAREOpen. In progress. Ready.

Work through orders on the digital order board.

04 · COMPLETEServe and settle

Take payment upfront at the counter or after service, to suit your business.

You decide the workflow. We configure ordering channels, stations, devices and payment methods to match.

Ordering & service

The queue gets longer.
The steps stay clear.

An ice cream parlour needs quick routines and room for individual requests. Both belong in the same workflow.

01 · COUNTER SALES

Popular items.
Right in front of you.

Item images, product groups and a suitable layout help your team find ice cream portions, sundaes, coffee and drinks quickly. Quantities can be entered directly. Configured shortcuts speed up entry of frequently ordered items.

Font size and the number of items per row can be adjusted for each device. This gives both the fixed counter till and the mobile device a suitable layout.

What this means for youLess searching while taking orders. Repeat sales become easier to handle as a routine – including for new seasonal staff.

Example · item selection

Your range determines the selection. Illustration, not a software screenshot.
02 · OPTIONS & SPECIAL REQUESTS

“No cream” stays
with the order.

Item options let you configure choices such as size, flavours, toppings or cup versus cone. Required selections, selection limits, defaults and surcharges guide the order. Further requests can be added as text.

An extra can trigger both a surcharge and a configured stock deduction. The additional portion is then reflected in both the sale and stock management.

What this means for youFewer forgotten questions and clearer information at the ice cream station. Chargeable extras are less likely to get lost in the rush.

03 · TABLE SERVICE & TEAM HANDOVERS

The order stays with you.
Even at a shift change.

Mobile orders can be assigned to areas, tables and individual guests. Additional orders remain with the relevant transaction. Guests or items can be moved when needed, and authorised colleagues can take over released tables.

A graphical table plan helps staff find their way around. Ice cream and drinks orders are routed to their stations according to the setup.

What this means for youFewer trips back to the fixed till. When the early shift leaves, open orders remain available for the next team member to continue serving.

04 · DIGITAL ORDER BOARD

What is waiting?
What is already being prepared?

The digital order board shows orders with their items and special requests. Your team can mark preparation and completion, set orders aside and view a combined overview of outstanding item quantities.

Time information and configured preparation targets help identify waiting orders. When several sundaes are being made at once, it becomes easier to see where help is needed.

What this means for youThe ice cream station works from a shared overview. Less calling across the room and less guessing which order should come next.

05 · COLLECTION NUMBERS & GUEST CALLING

“Is that mine?”
The number makes it clear.

Collection numbers on the order receipt and a suitable customer display help match orders to guests. A receipt QR code can complement the configured digital receipt process.

A supported Smartmatic integration also lets you trigger a guest call. Guests can step away from the immediate collection area and be called when their order is ready.

What this means for youA more organised handover, especially when takeaway sales, sundaes and drinks run in parallel. Guest calling requires suitable hardware and configuration.

Example · collection

The number and collection station connect the guest with the order.

Sales & return visits

A good visit
can include a little more.

06 · PRESENT PRODUCTS & SUGGEST EXTRAS

An espresso with your ice cream?
A good question.

Configured additional items can be offered when a product is selected. Images, short descriptions and more detailed product information are also available for the digital menu.

You can explain special ingredients, portion sizes or homemade specialities and highlight suitable additions – such as an espresso with a sundae or a topping for a waffle.

What this means for youYour team gets useful prompts for additional sales. Guests can see more clearly what makes your range special.

07 · SPLIT BILLS & TAKE PAYMENT

Four guests.
Four separate bills.

Settle the whole table, individual guests or selected items. Splitting a single item is also supported. Change calculation and tips assist with payment.

A configured, supported card terminal integration receives the payment amount. Eat-in and takeaway sales can be distinguished and processed according to the stored settings.

What this means for youLess mental arithmetic when splitting bills. Sending the amount to the terminal avoids entering it manually a second time.

08 · VOUCHERS & REGULAR CUSTOMERS

A gift today.
A return visit tomorrow.

Megara supports vouchers, reloadable customer cards and credit balances. Stored special terms can be assigned to the relevant customers.

Customer management adds contact details, billing and delivery addresses, notes and invoice history. This also helps with businesses, clubs and regular guests who place repeat orders.

What this means for youBalances and agreed terms are managed with a clear record. Returning customers do not need to provide their details again on every visit.

09 · QR-ORDER & SELFORDER

Your guests choose.
Your team gains flexibility.

With QR-Order, guests can order using their smartphones. A SelfOrder terminal provides another ordering point on your premises. Items, options and images guide guests through the configured range.

Order assignment, collection and payment are adapted to your workflow. The terrace can use a different ordering channel from the takeaway counter.

What this means for youPart of order taking is distributed across additional channels. Your team has more room for advice, preparation and service. The respective online and payment services require suitable connections.

Stock & profitability

Full cups are good.
Clear stock figures, too.

A sundae sold, ingredients used, the next purchase: well-maintained stock assignments connect these steps in a traceable way.

10 · RECIPES & CONSUMPTION

A sundae sold.
Ingredients accounted for.

Stored recipes and consumption quantities link a sales item to its stock ingredients. When the corresponding items or extras are booked, Megara accounts for the assigned consumption.

Ice cream, whipped cream, sauce and an extra topping portion can therefore be reflected in stock management. Accurate assignments and quantities are essential.

What this means for youSales provide a basis for assessing your stock needs. You can see more clearly what has been consumed according to the records and what needs reordering.

Worked example · configured extra

Extra pistachios

2extras sold
×
15 gconsumption per extra

30 g stock consumption
for the assigned ingredient.

The POS calculates the configured consumption. Actual portioning remains the team's responsibility.
11 · STOCK & PURCHASING

Running low on cones?
Better to check beforehand.

Manage stock levels, minimum quantities, supplier orders, goods receipts and transfers. Multiple storage locations can be managed separately, such as the main store and the sales area.

Partial deliveries can also be accounted for. Delivered goods and outstanding quantities remain distinguishable. Stored purchase prices support ingredient cost calculations.

What this means for youPurchasing is based on recorded stock and consumption. Missing delivery quantities can be spotted before they cause a surprise at the weekend.

12 · STOCKTAKING

Count.
Compare. See clearly.

Find items by barcode and enter counted quantities – using a smartphone camera or barcode scanner, depending on the device. The stocktake report compares recorded stock, counted quantities and differences; results can be exported.

This lets you check whether recorded stock still matches what is actually in storage. Recorded differences provide a reason to look more closely at consumption, deliveries or the count itself.

What this means for youLess copying from handwritten lists. And a clearer basis for reordering and preparing for the next season.

13 · VOIDS & STOCK LOSS

Entered incorrectly or
already melted?

An incorrect entry and a prepared sundae that can no longer be used have different consequences. Megara distinguishes voids with and without stock loss; reasons, users and timestamps make the process traceable.

This distinction helps account for consumption and corrections appropriately. Consumption reports add an overview of recorded stock movements.

What this means for youYou can investigate the cause more precisely: was it an entry error, incorrect preparation or actual stock loss?

14 · REPORTS & COSTING

Plenty sold.
But priced well, too?

Daily and hourly overviews, along with item and product group reports, show when and where revenue is generated. A separate discount report makes reductions traceable to receipts and staff members.

Stored purchase costs, selling prices and costing factors can also be compared. This highlights products whose price no longer matches the planned calculation.

What this means for youA better basis for decisions about your range, prices and staffing. Comparing purchase and selling prices is not a complete profit calculation including rent and labour costs.

A small change. A noticeable effect.

What 20 cents
can mean over a month.

If ingredient costs per sundae rise, the difference adds up with every sale. Maintained purchase prices and consumption quantities help identify these changes in your costing.

€0.20extra cost per sundae

=

Reports help with planning. They do not replace weather or demand forecasts.

Team & operations

Summer changes pace.
You stay in control of the routine.

15 · PERMISSIONS & TIME RECORDING

Clear tasks.
Clear responsibilities.

User permissions determine who can use which functions – such as price changes, discounts or voids. A clear item layout supports new staff during training.

Time recording stores clock-in and clock-out times using the employee ID and shows attendance status. This supports the organisation of permanent and seasonal staff.

What this means for youResponsibilities and attendance become traceable. Recorded times provide a basis for further processing; this does not include automatic shift planning or payroll.

16 · LOCAL OPERATION & BACKUPS

Internet down?
The local workflow matters.

Megara can operate with a local POS server on your premises. Functions configured for local operation do not depend on an internet connection for every step. Power, an accessible server and a working local network are still required.

Printer assignments, possible fallback printers and backups belong in the setup. Online ordering channels, external payment services, voice processing and, depending on the setup, fiscalisation have their own connection requirements.

What this means for youYou know what your essential workflows need. An agreed backup and recovery plan helps you respond to disruptions in an organised way.

17 · SEASONAL PRICES & MULTIPLE LOCATIONS

A new season.
Prepared to match.

Pricing rules and time-controlled special terms support changing offers. A promotional period or a particular customer group can be taken into account specifically.

For multiple locations, selected master data can be maintained centrally through configured synchronisation. Which data is shared and which settings remain location-specific is defined for your business.

What this means for youRecurring promotions can be prepared in advance. Coordinated data maintenance reduces duplicate work and inconsistent item records.

18 · WEIGHT & PRICE BARCODES

Take-home ice cream
has its own suitable workflow.

Supported weight or price barcodes can be read for suitable sales items. Scanning transfers the information contained in the configured barcode format.

This can suit prepacked ice cream portions or other weighed products. Item assignments, label format and the devices used must be matched to one another.

What this means for youLess manual entry for appropriately labelled goods. This does not automatically provide a direct connection to any weighing scale.

Cashing up & keeping records

The last guest has left.
Time to make things clear.

19 · CLOSING & CASH COUNTING

A long day.
A clear close.

The employee closing view brings together open tables, voids, invoices and receipts. Before closing, you can check specifically whether anything still needs attention.

The cash counting record captures opening and closing balances, coins and notes, and the relevant cash drawer. The count is saved and remains available as a basis for reconciliation.

What this means for youA repeatable closing routine instead of loose notes. Clear assignments make checks easier, especially when several people take payments during the day.

Example · closing routine
1
Review open tables
Resolve outstanding transactions.
2
Check receipts and voids
Match questions to the relevant records.
3
Count cash
Record denominations and the cash drawer.
4
Complete the closing process
With a traceable cash count.
20 · RECEIPTS & INVOICE HISTORY

“Could I still get
yesterday's receipt?”

Use receipt search to find existing invoices. Reprinting, hospitality receipts and PDF creation support different customer requests. Corresponding credit note workflows are available for corrections.

For assigned customers, invoice history adds to the overview. Invoice details and stored addresses do not need to be gathered from separate documents.

What this means for youFaster help with questions, lost receipts or business invoices. A PDF invoice is not automatically a structured electronic invoice.

21 · FISCALISATION & ACCOUNTING

Record sales.
Pass on organised data.

Megara supports TSE integration as well as DATEV and DSFinV-K exports. The required export period can be selected. Account assignments, payment methods and fiscalisation are configured to suit the business.

An internal check of the DSFinV-K export can validate the archive's structure, links between records and totals. The result supports technical checks before the data is passed on.

What this means for youAn organised basis for accounting and requested POS data. The internal export check does not replace external certification.

22 · EVENTS & TICKETS

Your ice cream can
be an experience, too.

Do you offer tastings, ice cream classes or special events? The event module manages dates, time slots, capacities, bookings and tickets. Customer details and notes can be assigned to the booking.

These workflows can be configured for suitable events at your ice cream parlour. Bookings in the event module are a separate function and do not imply a general table reservation system.

What this means for youAdditional offers get an organised booking workflow. You can see how many places have already been booked for a session.

More support for service

Speak your orders.
Process cash automatically.

Two more functions for suitable workflows in your ice cream parlour: voice ordering and Glory cash handling integration.

23 · VOICE ORDERING

Say it once.
Review it. Add it.

With voice ordering in the supported Megara Android app, you dictate an order for the open table and guest. The reviewed text becomes a draft order containing matching items, quantities, options and special requests.

Check the draft, then add it to the open order. The POS calculates prices and surcharges from your stored data. You then send the order as usual.

What this means for youAn additional way to enter multiple items and requests. Your team stays in control of what is actually added and sent on.

Requires the supported Android app, activation and an internet connection for text processing. Ambiguous matches are resolved before items are added; special items such as weighed products are entered through the regular POS workflow.

Example · spoken order

“Two spaghetti ice creams, one without cream, and a cappuccino.”

1
Review the transcribed text
2
Check items and requests
3
Add the items and send as usual
Items are matched against the configured range. Orders are not sent automatically.
24 · GLORY CASH HANDLING

Glory takes care
of the change.

Megara sends the invoice amount to a connected Glory cash handling device. The device processes the cash payment and change. The POS checks the response for the matching payment transaction before marking it as successful.

Multiple devices can be assigned to areas. If several suitable devices are available, the required one can be selected. Full refunds of an original Glory payment are supported through the designated credit note workflow.

What this means for youManual counting and handing out change are removed from the supported payment workflow. Your team can focus more on serving orders and guests.

Requires a compatible, configured Glory device. The supported workflow covers individual invoice payments and full refunds; mixed payments and additional tip entries within the same Glory payment are not included.

What you may want to know before starting

Practical questions.
Clear answers.

Does Megara suit a small ice cream parlour?

The right setup depends on your workflow. A takeaway counter needs different equipment from an ice cream café with a terrace, table service and several serving stations. We match the devices, modules and configuration to your needs.

Can the counter and terrace work together?

Yes. Areas, tables, guests and ordering stations can be assigned. A configured shared workflow connects order taking, preparation and payment. The setup defines where orders appear and when payment is taken.

Are ice cream stocks automatically measured exactly?

The POS calculates using stored consumption quantities. It does not measure scoops in the display. Consistent portioning, correctly recorded deliveries and regular stocktakes help align recorded and actual stock.

What happens if the internet goes down?

Local POS workflows can continue with an accessible local server and a working network. Which functions need an external connection depends on payment services, online ordering channels and the chosen fiscalisation setup. This is clarified during configuration.

Are all the functions described automatically included?

The specific scope is set out in the quotation. Some functions require additional modules, activation, devices or services – such as SelfOrder, card terminals, guest calling, voice ordering and Glory. The setup is put together to suit your ice cream parlour.

What does preparation involve?

We discuss your range, options, prices, areas, devices and payment methods. Stock management and costing also require ingredients, quantities and purchase prices. Together, we can walk through typical orders, special requests and the closing routine.
